Privacy notice

Who is responsible for your information

This website operates under the name Deployed AI. This notice explains how information is used for website visits, business enquiries and demonstration requests.

For privacy enquiries or requests about your information, use the Contact link in the footer.

What this notice covers

This notice covers website visitors, people who contact us and people who arrange a demonstration. It does not describe patient information handled for a practice under a reception service agreement. The practice’s privacy notice and the relevant service arrangements apply to that processing.

Information we receive

Please do not send patient records, health information, passwords or other sensitive information through a sales enquiry or demo request. The illustrated conversation tabs do not submit information or make a booking. The interactive reception demo is separate and works as described below.

Interactive reception demo

The optional reception demo uses a specialist voice and language service provider to process the messages you type, or microphone audio and its transcription when you choose voice. A session starts only after you accept the demo notice and select voice or text. Microphone permission is requested for voice. This information is used to generate the receptionist’s replies and demonstrate the service; The provider may retain conversation records according to the account and service settings. We do not save transcripts in this website’s browser storage. Use fictional details only and do not share patient or health information. You can end the conversation at any time. Read the voice service provider’s privacy notice for provider processing information.

Why we use information

We use enquiry and booking details to answer your questions, assess your requirements and arrange discussions. Where you request steps towards a contract, that processing may be necessary to take those steps. For business contacts acting for a practice, our legitimate interest is responding to relevant business enquiries and managing the relationship. We use necessary technical data to operate and secure the website, based on our legitimate interest in providing a working, secure service. Where a legal obligation requires records to be kept, that obligation is the basis for doing so.

An enquiry is not a subscription to marketing. If we introduce optional marketing, we will explain the relevant choice and provide a way to stop it.

Service providers and sharing

Netlify hosts this website. Typeform hosts our enquiry form and processes the answers you submit so we can review and respond to your enquiry. Calendly provides an external booking page when you choose to arrange a demonstration. Information sent by email is handled by our business email service. We share information with service providers only as needed for their role, and may disclose it when required by law or to establish, exercise or defend legal claims.

When you follow an external booking link, read the privacy information presented by that service. Website enquiries can be sent using the linked Typeform or by email. The form opens on Typeform’s website; it is not embedded in this page.

The AI-provider marks on this website identify technologies we specialise in. Their presence does not mean website enquiries or example conversations are sent to every provider.

International processing

Service providers may process information outside the UK. Their locations and processing arrangements depend on the service used. Contact us if you would like information about the arrangements relevant to your enquiry. You can also read Netlify’s privacy notice and Calendly’s privacy notice and Typeform’s privacy notice.

How long information is kept

Retention depends on the purpose of the information: handling and following up an enquiry, managing any resulting customer relationship, meeting applicable record-keeping requirements, and resolving disputes. Technical records are also subject to the hosting provider’s retention arrangements. Contact us to ask about information relating to you or to request deletion, subject to applicable legal requirements.

Your rights and privacy enquiries

Depending on the circumstances, you can request access, correction, deletion, restriction or transfer of your personal information. You may object to processing based on legitimate interests and to direct marketing. Where processing relies on consent, you may withdraw it without affecting processing already carried out. These rights have legal limits.

Contact us to make a request. We may need to verify your identity. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Security and changes

We use access controls and technical measures appropriate to the information we handle. No website or communication method is completely secure. We will update this notice when the service or its data use changes and show the revision date here.
