Frequently asked
questions.
About reception, WhatsApp, your systems, pricing and getting started.
The service
What does Deployed AI reception help with?
It is designed to help patients book and rearrange appointments by chat or phone, reduce routine booking admin and help more enquiries become appointments. The scope is agreed around your practice before launch.
Is it for a particular type of practice?
We work across practice types. Tell us how your practice operates, what you want to improve and which systems you use so we can assess the right setup.
Can it work outside business hours?
After-hours reception is part of the offering. The aim is to let patients make booking enquiries when your practice is closed, with availability and booking rules agreed during setup.
How does it help my existing team?
It takes on routine booking enquiries and appointment changes so your team can spend more time on the practice. We agree which tasks the reception should handle and how those tasks fit your current workflow.
Phone, chat and WhatsApp
Can we use WhatsApp for text reception?
WhatsApp text reception is an optional, separately priced addition to your agreed setup. We review your business account, number eligibility, supported booking actions and connections before launch. It is designed to help with routine enquiries, not to require every patient to make a phone call.
Can a WhatsApp conversation move to a phone call?
If a patient prefers speaking, the text flow can offer the reception phone number agreed for your practice. A normal telephone call and a voice call inside WhatsApp are different capabilities; the supported route is confirmed during setup. Do not assume the full message history automatically transfers into a call.
Will phone, chat and WhatsApp share the same information?
The aim is to configure the channels around the same agreed practice information and booking rules. Access to calendars, supported actions and continuity between conversations depend on your integrations. We confirm and test what information can carry between channels.
What do we need to add WhatsApp?
We review the business WhatsApp account, the number you want to use, any platform approval requirements and your practice systems. Tell us whether you already use WhatsApp Business. Keep patient details out of the sales enquiry form.
What do the WhatsApp message types mean?
Replies to patient enquiries answer a patient who has messaged your practice. Meta calls these service messages. Appointment updates, such as a confirmation or reminder about an existing booking, are utility messages. Verification codes are authentication messages. Offers and promotions are marketing messages.
These are examples, and Meta’s rules determine the category. An appointment reminder with a promotional offer may be treated as marketing. The UK WhatsApp rates show the charge for each type. Setup is included. Meta message fees and WhatsApp AI usage are additional.
Are WhatsApp charges included in the calculator?
No. WhatsApp is an optional add-on, separate from the core plan and calculator. Setup is included. Your proposal separates the additional AI processing and Meta message charges. For UK recipients, Meta’s published list rates are 4.58p for marketing and 1.59p for utility, authentication and chargeable service replies. Meta currently provides 1,000 delivered service replies per business number per month free, separately from your reception credits. On the WhatsApp add-on section, expand “View UK WhatsApp message rates” for the detailed rates and exclusions. Incoming patient messages are free of Meta message charges; AI processing can still incur a separate charge.
Setup and systems
Will it work with our booking and phone systems?
Compatibility depends on the systems you use and the access they support. Include your practice management or booking system and phone provider in your enquiry. We will review what can be connected before agreeing the service.
What happens before we go live?
Setup is included in your plan. Before launch, we:
- Review your workflow. We review your enquiries, opening hours, booking rules and existing phone and practice systems.
- Configure your reception. We agree the scope, check compatible connections and configure the conversations around your practice.
- Test before launch. We run through booking and appointment-change scenarios together and check the agreed setup before launch.
Integration availability and launch timing depend on your systems and agreed scope.
Do I need to know exactly what we need?
No. Tell us where routine enquiries or appointment admin are taking up time, or what happens outside opening hours. You can enter “Not sure” if you do not know the name of a system.
Pricing and next steps
How much does it cost?
The price is £625 per month for each of your first three locations, then £400 per additional location, including reception software and a shared monthly allowance of 1,000 credits. Extra usage is £0.30 per credit. Annual billing is £7,000 each for the first three locations, then £4,800 per additional location, with the same shared monthly allowance. Setup is included. Any additional connections are quoted separately. Prices exclude VAT where applicable. A written proposal will confirm the scope and total charges before you agree to a service. Visit the pricing page and cost calculator to estimate your activity against the published plan and usage rates.
How do I get started?
You can book a 30-minute meeting or send an enquiry with your practice details, priorities and current systems. Making an enquiry or booking a meeting does not purchase a service.
How does the shared allowance work?
Your account includes one pool of 1,000 credits each month, shared across your locations and included channels. Phone calls use 1 credit per minute, website chat uses 0.5 credits per minute and a text messaging service, if included in your quote, uses 0.1 credits per message. For phone-only reception, that is 1,000 included minutes. There is no separate allowance for each location or channel. Extra credits cost £0.30 each. WhatsApp is an additional service, quoted separately; it is not covered by the calculator’s text-message rate.
What should I enter in the pricing calculator?
Choose monthly or annual billing, set your number of practice locations and enter the total phone minutes you expect across them. Annual mode asks for yearly activity; monthly mode asks for monthly activity.
For phone-only reception, leave “Add website chat or text messages” closed. If you need those services, enter the time patients spend chatting on your website in minutes and the number of text messages for any messaging service included in your quote. Leave unused channels at zero. WhatsApp is priced separately and is excluded from the estimate.
The calculator applies the location discount automatically from your fourth location. Setup is included; additional connections and VAT are excluded. Try the pricing calculator.
How many calls is 1,000 minutes?
At an assumed five-minute average, 1,000 phone minutes is about 200 calls. Actual call lengths vary. Five minutes is a planning assumption, not a call-length limit. Website chat and any text messaging service included in your quote also draw from the shared allowance. WhatsApp is separate.
What changes if we pay annually?
The annual plan is £7,000 each for the first three locations, paid upfront, saving £500 on each of those locations compared with monthly billing. Each additional location is £4,800 per year, equivalent to £400 per month. The 1,000-credit allowance is still monthly and shared across the account. Annual mode in the calculator shows yearly activity and cost, assuming activity is evenly spread across the year. Actual usage is assessed monthly, so a busy month can incur extra charges even if other months are quieter. Annual payment does not include unlimited usage; extra usage and any separately quoted charges still apply.
Can we set a budget for additional usage?
Usage allowances, payment arrangements and available spending controls should be agreed in your proposal before launch. Ask about prepaid extra usage and a spending limit. For WhatsApp, the budget needs to account for both AI processing and Meta charges. Any automatic limit and what happens when it is reached must be configured and tested for the agreed setup; a usage alert alone does not stop charges.
Can the calculator handle several locations or higher volumes?
Yes. Set the number of locations and enter total activity across them. The slider scales with your location count, and you can type a higher minute total directly. The call-count estimate uses a five-minute average. For more than 20 locations, request a tailored quote.
Trying the demo and privacy
Can I try reception before getting in touch?
Yes. On the homepage, choose “Start a live demo” to open the interactive demo. Read the notice, then choose voice or text. Voice requires microphone permission; the text option lets you try it without using your microphone.
Does the demo make real appointments?
No. It represents a fictional practice. Booking times and confirmations are examples, and no real appointment is made or changed. Use made-up details and do not share patient or medical information. The demo does not provide medical advice or emergency assistance.
What happens to my enquiry or demo information?
The enquiry form is hosted by Typeform. The interactive reception demo processes your messages or microphone audio through a specialist voice and language service after you choose to start. Read our privacy notice for details, including the distinction between website enquiries and information handled for a practice under a service agreement.
What if the demo is silent on my phone?
On your phone, turn off Silent Mode and turn up your media volume before starting voice. Check any connected headphones. After starting a voice session, tap “Enable sound” if reception connects but you cannot hear it. Voice needs microphone permission; you can choose “Use text instead” without giving microphone access. You can end the demo at any time.
